Shopify B2B Company Locations: Give Buyers the Right Access

Shopify B2B Company Locations: Give Buyers the Right Access cover art

Shopify B2B company locations connect buyers to the location-specific settings used for wholesale purchasing. A buyer associated with the wrong location can see the wrong terms, addresses or catalog. Design location records and contact permissions with the customer's organization before inviting people to order.

Distinguish a company from a location

Shopify's companies guide describes a company as the parent organization and a company location as the business location being sold to. A location can have its own tax details, shipping and billing addresses, pricing, payment terms and contacts. A customer with access to multiple locations is prompted to choose the location they are purchasing for.

Shopify's B2B plan guide says direct catalog assignment to a company or location and certain advanced payment features require Plus. Availability and market configuration can change, so verify the store's plan instead of assuming every feature is universal.

Set up a location deliberately

In Customers > Companies, open the correct company and create a location using the supported workflow. Review the location name and identifier, billing and shipping addresses, tax settings and main contact. Assign the minimum customer role needed, then configure applicable catalog, payment and checkout settings supported by the store's plan.

For a new location, compare it with the customer's purchasing and accounts-payable records. A copied location can carry settings from the source, so review every copied field before saving. Use a verified contact channel for changes to addresses, tax exemptions or payment terms.

Test the buyer's experience

Use an authorized test buyer and a non-sensitive test catalog. Sign in, select the intended company location and inspect product availability, pricing, billing and delivery details, payment terms and checkout outcome. Repeat with a second location that has different settings. Do not submit a real purchase or expose another buyer's order history during testing.

Shopify says a location admin can update shipping and billing addresses. Consider that authority when granting the role. A buyer's ability to order is not the same as permission to approve credit or change commercial terms.

Maintain a quarterly access review

Give sales and finance clear owners for contacts, terms and tax documentation. Review stale contacts, duplicate locations and changed addresses on a schedule agreed with the customer. Keep a record of who authorized access and commercial changes, limiting personal information to what the business needs.

After a catalog or terms change, retest a representative buyer and location. Related guides: B2B catalog pricing and B2B payment terms.

Can a buyer have access to more than one location?
Yes. Shopify says the buyer is prompted to select a company location when they have access to more than one.
Can an ordering-only contact see every location order?
Shopify describes ordering-only contacts as able to review orders they placed; location admins can review all orders for the location.
Are direct company catalog assignments available on every plan?
No. Shopify's current plan guide says direct company and location catalog assignments require Plus.
