Shopify Inventory Transfers Between Locations: A Receiving Checklist

Shopify inventory transfers between locations help a team track stock moving from one store or warehouse to another. A transfer record is not proof that the destination has physically received usable goods. Separate the decision to reserve inventory, the physical shipment and the destination count so that one missing carton does not become a misleading available quantity.

Understand the transfer states

Shopify's transfer guide describes several ways to process a transfer. The right choice depends on where the goods actually are.

Shopify says you can create transfers between store locations, including locations that are not active for fulfillment. Stocking a product at the destination is a separate consideration: review whether the variant is active there when you receive it.

Prepare the physical handoff

  1. Identify the origin and destination by name, not by assumption.
  2. Select the exact variants and expected quantities.
  3. Confirm that the origin has the stock and that the destination can handle it.
  4. Pick, count and package the items; identify cartons and shipment references.
  5. Choose the Shopify action that matches the physical state.
  6. Tell the receiving team what is expected and when.

A draft is a plan, not a reservation. If staff need to set stock aside before the shipment leaves, use the supported ready-to-ship workflow rather than assuming a draft protects it from other demand. Shopify also supports multiple shipments for a transfer when items move in separate batches.

Receive the shipment honestly

Shopify's receiving guide distinguishes Accept, Reject and Cancel. Accepted inventory becomes available at the destination, subject to stocking the product there. Rejected inventory is recorded on the transfer and does not add to available stock. Cancel is for inventory never shipped; on a transfer between store locations it returns to available inventory at the origin.

For example, if 12 units were planned and only nine were shipped, document which three never left before canceling them. Count the nine on arrival and investigate damage or shortages before accepting. Do not use cancel as shorthand for an item that disappeared in transit: first establish where the item went and use the current Shopify workflow that fits the facts.

Resolve differences without double counting

Record carton IDs, quantities, photos and the destination count. If an entry was wrong, Shopify documents a way to manage received items and correct the action or quantity. Recheck inventory at both locations after the correction. Avoid making a second manual adjustment before understanding what the transfer correction already changed.

Confirm any actual loss, return or supplier involvement under your own inventory policy. For adjacent controls see inventory adjustment reasons and purchase-order receiving.

Does a draft transfer reserve stock?
No. Shopify says inventory in a draft transfer is not committed. Marking it ready to ship commits it at the origin.
Does incoming inventory mean it is available to sell?
No. Incoming means stock is expected. It needs to be received and, where necessary, stocked at the destination.
What happens to canceled items that never shipped?
For a transfer between store locations, Shopify says canceled quantities are returned to available inventory at the origin.
Can I correct a received transfer?
Shopify supports editing received actions and quantities. Review the resulting inventory before making further manual adjustments.
