Shopify Store Credit vs Refunds: What Merchants Should Know

Shopify store credit vs refunds is both a customer-service and accounting decision. Store credit can be issued to an eligible customer account or used as a refund method, while an original-payment refund returns money through the payment method. Neither choice overrides consumer law or the promises in your published return policy.

According to Shopify's store-credit guide, only credit matching the checkout currency is displayed when a customer holds balances in multiple currencies. Customers can use credit for an initial subscription purchase, but not recurring subscription bills.

Start with the customer's rights

A store may offer credit as an option, but eligibility for a refund can depend on the jurisdiction, the reason for return, product type and contract. Obtain appropriate legal advice and make the choices clear before the customer accepts them. Do not substitute credit for a legally required cash or original-payment refund merely to retain revenue.

Tell customers the amount, currency, expiry if any, where to view the balance and how to contact support. Expiration rules vary by jurisdiction. Shopify lets you set an expiry per issuance, and the guide notes there is no store-wide default expiry for store credit.

Model the economics honestly

Imagine a $100 return. A $100 refund sends the refund value back through the original method; a $100 credit creates a balance the customer may spend later. If the customer later buys a $120 product using the credit and pays $20 extra, the merchant has another sale, but also incurs the new product and fulfilment costs. The original credit was a liability or obligation, not free profit.

Track issuance, redemption, outstanding balances, expirations and reversals. Ask your accountant about revenue recognition, taxes and unclaimed-property rules in your markets. Processing fees may not be returned: Shopify's refund guidance explains that treatment depends on the payment provider and circumstances.

Set up a controlled workflow

  1. Check that store credit and the relevant customer-account configuration are available for your store.
  2. Give staff only the necessary refund permissions and document approval limits.
  3. Confirm the order, customer identity, eligible amount and chosen refund method.
  4. Set any expiry only after checking local rules and informing the customer.
  5. Send confirmation and test that the customer can find and use the balance.
  6. Reconcile issued and redeemed credit against finance reports regularly.

Shopify documents separate permissions for refunding to store credit and to the original payment method. If a staff member cannot see an option, check permissions before assuming it does not exist. The returns processing guide describes the refund methods.

For the shopper-facing process, review Shopify returns self-serve setup and customer accounts migration.

Avoid a balance surprise

Before confirming a refund, show the customer the chosen method and any remaining balance due. When credit is redeemed, check the order record and customer account together so support can explain any partial payment. Set a named owner for cases where an account email or checkout currency prevents the shopper from seeing an expected balance.

Can customers use store credit for recurring subscription payments?
Shopify says credit can be used for the initial subscription purchase, but not for recurring subscription bills.
Does store credit expire automatically?
No store-wide default expiry is built in according to Shopify's guide. An expiry may be set when credit is issued, subject to applicable law.
Is a store-credit refund always allowed instead of cash?
No. Refund rights depend on local law and the transaction. Offer options consistent with your obligations and policy.
Can customers use a balance in any currency?
Shopify says the store-credit balance matching the checkout currency is displayed. Test your actual market and currency setup.
